The Center for Teaching and Learning (CTL) at Georgia College & State University focuses on faculty success by creating a single entity that encompasses faculty development, and instructional design, and support. It addresses the rapidly evolving role of technology in teaching and learning. CTL coordinates existing and new initiatives to improve efficiency and effectiveness. It also interacts closely with the University Library and Information Technology. CTL is a one-stop shop that advances faculty success.

The Office Coordinator II provides administrative and operational coordination for the Center for Teaching & Learning (CTL), supporting CTL's mission of advancing faculty success through faculty development, instructional design, and engaged teaching and learning initiatives. Working under the general direction of the CTL Director, this position administers the CTL operating budget and grant funds, serves as the office's primary point of contact and lead for administrative operations, and functions as the primary administrative liaison between CTL and campus partners on matters of purchasing, personnel, facilities, and operations. The Office Coordinator II may train, assign, and review the work of student workers and part-time/temporary staff.

Administrative Coordination & Office Leadership - 35%
Serves as the primary point of contact for CTL, overseeing day-to-day office operations and resolving most inquiries and issues independently, referring only the most complex matters to the Director

Trains, assigns, and reviews the work of student workers and part-time/temporary staff supporting CTL operations; may be designated as lead worker for administrative support functions

Coordinates and maintains the CTL calendar, including scheduling faculty consultations, workshops, committee meetings, and the Director's appointments and travel

Oversees workshop and event registration systems and CTL communications (e.g., CTL Newsletter), ensuring accuracy and timely distribution

Maintains and audits CTL files, records, and shared drive/website content, establishing procedures to ensure consistency and compliance

Budget Preparation & Fiscal Control - 30%
Prepares and administers the CTL operating budget and small grant programs (e.g., Academic Affairs Small Grants, Community-based Engaged Learning Grants, Affordable Learning Georgia Grants), including forecasting and monitoring expenditures against allocations

Approves and processes purchase requests, reimbursements, and invoices; reconciles accounts, identifies and resolves variances, and prepares periodic financial reports for the Director

Serves as the primary CTL liaison with Finance & Administration, Procurement, and Grants Accounting on budgetary and purchasing matters

Maintains comprehensive records and statistics on grant expenditures, workshop attendance, and program participation for internal and external reporting

Program & Event Administration - 20%
Administers the full logistical lifecycle of CTL programming, including New Faculty programs, professional development workshops, and the Teaching Excellence Awards, from planning through post-event evaluation

Serves as administrative liaison with campus departments, vendors, and outside partners to coordinate facilities, catering, and materials for CTL programs and events

Oversees administration of course feedback initiatives (e.g., PFOT & SGID, SRIS), managing scheduling, distribution, and reporting logistics

Personnel & Records Administration - 10%
Prepares, reviews, and processes personnel change documentation for CTL student workers and part-time/temporary staff, ensuring accuracy and compliance with institutional policy

Maintains and audits personnel and time-keeping records for CTL support staff and student workers

Other - 5%
Other duties as assigned.

Educational Requirements
High School diploma

Other Required Qualifications
Proficient in Microsoft Office Suite (Word, Excel, Outlook)

Required Experience
4 years of related office coordination or administrative support experience, preferably in a higher education setting, including experience with budget administration and lead or supervisory responsibilities.

Preferred Educational Qualifications
Associate's degree.

Preferred Experience
Higher education administrative support experience.

This position is a pay grade 7. The minimum salary is $40,729. Starting salary within this range is based on relevant years of experience.
